Picked and sold, typed once

A trader comes to the garden, the crates are loaded, the money changes hands. In Famu that is two records: the harvest (how much the plot gave) and the sale (what it brought in). Now one form saves both, and you only type the buyer and the price.

What you type for the sale 2 things

The customer and the price. The planting, the date, the quantity and the unit come from the harvest you just entered.

What it saves 1 sale, linked

An ordinary crop sale under Sales, tied to the picking it came from, so the plot's profit and your customer's balance are right straight away.

1 Yield and money

Why a harvest and a sale are two things

And why that used to mean typing the same crates twice.

A harvest says what came off the plot: 120 kg on Tuesday, round 3, Grade A, 4 kg rejected. A sale says what money came in, from whom, and whether they have paid. Famu keeps them apart on purpose. Plenty of harvests are not sold the same day (they are stored, eaten, given away, or sold in parts to several buyers), and all of the farm's money is counted in one place, Sales, so your totals and reports never count the same shilling twice.

But when the buyer is standing at the edge of the garden, the two records describe the same crates. Before, you recorded the harvest and then went to Sales and typed the planting, the date and the quantity all over again.

A picking sold on the spot Side by side

Before two forms

  1. Record the harvest: date, round, 120 kg
  2. Open Sales and tap Add
  3. Pick the planting again
  4. Type the date and 120 kg again
  5. Pick the buyer, enter the price, save

Now one form

  1. Record the harvest: date, round, 120 kg
  2. Tick Sold this harvest
  3. Pick the buyer, enter the price
  4. Save: harvest and sale both recorded

One tick on the harvest form

Try it: change the picking, tick the box, set a price. The right side shows exactly what Famu will save.

The form

What Famu saves
from the harvest typed for the sale

Quantity sold follows the picking, less what was rejected, until you type your own figure. Rejected produce is the one part of a picking that certainly did not go to the buyer.

Leave the box unticked and nothing changes: Save records the harvest alone, exactly as before. Tick it and Famu asks for what the harvest cannot know: who bought it and at what price. If you sold only part of the picking, change Quantity sold; the rest is still yours to sell later.

What you get is an ordinary crop sale. It shows in the planting's Sales section and on the Sales page, it counts in the plot's profit, and an unpaid one shows up in Money Owed. Instalments, photos and the printed receipt work on it like on any other sale.

Sold later? Say which picking

Choose a round and watch what it fills in, and what it leaves alone.

Record Crop Sale Try it

Produce that waited (in the store, on the drying table, for a better price) is sold from the planting's Sales section. Opened there, the sale already belongs to the planting, and Famu offers the rounds you have picked. Choosing one fills in what that round yielded, but only into an empty quantity. A number you already typed is never overwritten, because a round is often sold in parts.

Not sure which round, or it was a mix? Leave it on Across several pickings. The sale still belongs to the planting; it just is not tied to one pick.

4 When something goes wrong

Never half-saved, never saved twice

The harvest and the sale are written one after the other. Here is what happens if the second one fails.

A weak signal in the garden Step by step

Missing a buyer or a price

  1. You tap Save with no customer chosen
  2. Famu says what is missing
  3. Nothing is saved until it is filled in

The connection drops

  1. The harvest is saved
  2. The sale is not; the form says so and stays open
  3. Tap Save again when the signal is back
  4. Only the sale is sent; the harvest is not recorded twice
5 What you can rely on

The rules that keep the money straight

Money is counted once

A harvest never carries a price. The only money is the sale, so the plot's profit, the farm's revenue and your reports all read the same figure.

Only people who can record sales

The tick appears only for a role allowed to record sales. Someone who may record harvests but not money sees the harvest form as it always was.

New pickings only

The tick is on a new harvest. A picking already in Famu is sold from the planting's Sales section, where its round is offered.

Two records, still separate

Changing a picking later does not change its sale, and deleting the picking keeps the sale, just no longer linked to a round. Each is corrected on its own page.

A sale like any other

It is edited, paid off and receipted on the Sales page under the same rules as a sale you typed there, including who may change it and for how long.

Your farm's only

The customer list, the plantings and the rounds you can pick from are your own farm's. Nobody on another farm can see or link to them.

! Worth saying out loud

One buyer per tick

Split between two buyers? Record one here, the other from Sales

The harvest form takes one customer. If half the crates went to one trader and half to another, tick Sold this harvest for the first and lower Quantity sold to their share. Then add the second buyer from the planting's Sales section and pick the same round.

The harvest form takes a single full payment. Deposits, instalments, photos of the payment and receipts are added afterwards, on the sale itself.

Earns its keep for

  • Tomatoes, cabbages and greens sold to a trader at the garden the day they are picked
  • Pickings loaded straight onto a truck or a boda for the market
  • Anyone who records sales from the field on a phone

Does little for

  • Maize, beans or coffee that are dried and stored before they are sold
  • A harvest sold across many small buyers over a week
  • Produce eaten at home or given away, which is never a sale

The examples follow the same rules as the app: quantity sold starts as what was picked less what was rejected, the total is quantity × price rounded to cents, the sale takes the harvest's planting, date and unit, and choosing a round on a later sale fills in only an empty quantity.

The customers, quantities and prices shown are made up.
